Quick Start: I Want to Create a New Workspace

To get started with Tracy, register in the app—this will create your workspace at the same time. During registration, you will be prompted to choose a template. Select the one that best fits the activity you plan to manage: sales, service, logistics, and so on.

Please note: if you accidentally chose the wrong template—simply delete the workspace and create a new one.

First Steps

  1. Get familiar with the interface of the app’s home screen.
  2. Check which dashboards and datasets were created based on the template and are available to you in the sidebar (for example, tasks, requests, or orders).
  3. Decide which ones you don’t need, and either delete or deactivate them—if there’s a chance they might be useful later. A dataset can always be created and configured from scratch, but adapting an existing one is faster.
  4. Adjust the dashboards and datasets that do fit your needs: update states to reflect your team’s actual workflows, add or remove properties, and review permissions (which data users of each role can view or edit).
  5. Invite your colleagues to the workspace.
  6. Optionally, add your photo so your colleagues can recognize you right away.
  7. Optionally, customize the app’s theme, language, and time zone, as well as notification settings.

How to Adapt the App to Your Team’s Needs

Before configuring Tracy, it helps to answer a few questions:

  • what recurring workflows and roles exist in your team;
  • who is responsible for what;
  • what information is used in those processes, what it consists of, and who needs access to it at each stage.

The key principle: to make Tracy as easy as possible for your colleagues and reduce the time it takes to get up to speed, give each person exactly as many capabilities as they minimally need to do their job.

For example, a courier only needs to see a list of their own active deliveries with delivery times, addresses, and basic client contact details (and perhaps a history of completed deliveries, if their pay depends on it). They don’t need a Kanban board, sales stages, or their colleagues’ orders. The less clutter a person sees, the faster they can focus on their tasks—and the less chance they’ll accidentally do something they shouldn’t.
